Payroll Software for Construction in 2026: Certified Payroll, Job Costing and Crew Time Tracking

Payroll software for construction companies and contractors: certified payroll, prevailing wage, union rates and job costing, plus crew time clocks.

By , founder of NQM Studio LTDUpdated 8 min read

Payroll software for construction has to do three things a general payroll product often does not: pay crews at different rates across jobs, handle prevailing wage and union rules on public projects, and send labor hours to job costing. Trimble Viewpoint and CMiC are construction ERPs with payroll built in, ADP, Paychex and QuickBooks describe certified payroll support, and Gusto suits simpler crews.

This guide is US-focused, because certified payroll and Davis-Bacon prevailing wage are US rules. It groups 10 picks by job, says plainly where a vendor's pages stop short, and covers a short non-US option at the end.

What does payroll software for construction need to do?

Contractors pay people across several jobs and sometimes several states. On federally funded projects covered by the Davis-Bacon Act, they must pay workers the prevailing wage for their classification and submit a weekly certified payroll report. ADP, Gusto and Intuit each explain this on their own pages. Union jobs add negotiated rates and fringe benefits, and job costing needs hours coded to the right job.

A tool built for contractors should therefore pay at multiple rates, apply prevailing and fringe rates to covered jobs, produce the certified payroll report, handle union rules and pass labor cost to job costing. The vendors below do some or all of that, and each section says what the vendor's own pages state. If you mean paying independent contractors rather than running a construction company's payroll, Gusto's listing covers paying contractors, and the HR software guide lists more options.

How we picked

Enlisted looked for payroll and workforce tools that name construction, contractors, certified payroll, prevailing wage, union or job costing in their own descriptions, then checked those claims against each vendor's pages. Tools with only a loose link to construction are labeled as such. The text reports what the catalogue and vendor sources say, not product trials. See how Enlisted ranks tools for the method. Live prices appear in the cards and table.

Best construction ERPs with payroll, union rules and job costing

Trimble Viewpoint: Vista and Spectrum with payroll and prevailing wage

Trimble Viewpoint is a suite of construction ERP, accounting, HR and field management software for contractors, built around two core products called Vista and Spectrum. Each has companion HR products for onboarding, payroll timesheets, time off and training, and Vista has a field management product that links crews on site to the ERP. Trimble's pages describe handling union payroll, multi-state and multi-company payroll, and its help documentation covers prevailing wage and Davis-Bacon processing, wage codes and a certified payroll report.

  • Best for: established contractors that want payroll, job costing and accounting in one construction-specific system.
  • Watch out for: Enlisted lists contact-sales pricing, and a full ERP is more system than a small crew needs.

CMiC: construction ERP with payroll on the same database as job cost

CMiC is construction ERP software that combines accounting, project management and workforce tools for general contractors, subcontractors and heavy-highway firms. Its payroll pages describe pay processing, tax filing, handling multiple pay rates, certified payroll reports and support for union jobs, running on the same database as accounting and job cost so labor hours reach the job in the same cycle.

  • Best for: mid-sized and large contractors, including those with union work.
  • Watch out for: pricing is not published (buyers get a quote or demo), and the listing frames it as an enterprise-style ERP rather than a standalone payroll product.

Best payroll providers with certified payroll and prevailing wage options

ADP: Workforce Now for Construction and partner apps

ADP is a large payroll and HR provider with a construction offering. Its construction page describes ADP Workforce Now for Construction, which can automate prevailing and fringe rates for government-funded projects and create certified payroll and union reports. ADP's marketplace also lists partner apps for certified payroll and prevailing wage processing, such as Dapt and Points North.

  • Best for: contractors with a payroll team that want a large provider with construction-specific options.
  • Watch out for: pricing is quote-based, and some certified payroll features come through partner apps rather than the core product.

Paychex: payroll with construction compliance through marketplace partners

Paychex is a US payroll and HR provider for small and mid-sized businesses, with a partner program for accountants. Its pages describe tools for construction payroll compliance, including union and prevailing wage management and certified payroll reporting, offered through partners on the Paychex Marketplace, such as Points North and HCM TradeSeal. Paychex also publishes guidance on tracking labor cost by job.

  • Best for: contractors that want a mainstream payroll provider and are happy to add a partner for certified payroll.
  • Watch out for: the construction compliance tools are partner products, so check pricing and how data moves between systems. Paychex pricing is quote-based.

QuickBooks: certified payroll report in higher payroll tiers

QuickBooks is Intuit's accounting family, including payroll and time tracking. For contractors, Intuit's help pages describe a certified payroll report in QuickBooks Online Payroll Elite and Premium, after employee time has been entered on a weekly timesheet against a project with standard and overtime hours. Separate help pages describe prevailing wage and certified payroll setup for QuickBooks Desktop Payroll. See QuickBooks alternatives to compare ledgers.

  • Best for: small contractors already using QuickBooks for the books.
  • Watch out for: the certified payroll report is tied to specific payroll tiers, and the Online and Desktop setups differ.

Best for small crews and simple payroll

Gusto: multiple pay rates and job costing reports for smaller contractors

Gusto is payroll, benefits and HR software for small US businesses, and it also pays independent contractors. Its construction page describes paying workers at different rates across job sites, job and workforce costing reports, and workers' compensation through a partner on a pay-as-you-go basis. Enlisted's entry notes that the vendor's site blocked automated access, so confirm current details.

Gusto publishes an explainer on certified payroll, but a built-in certified payroll report was not confirmed on the pages reviewed. If you bid prevailing wage work, ask before you commit.

  • Best for: small contractors with mostly private work who want straightforward payroll and job costing reports.
  • Watch out for: confirm certified payroll and union support in writing if you take covered projects.

Best for crew time tracking that feeds payroll

Connecteam: mobile time clock and forms for construction crews

Connecteam is a mobile-first app for deskless teams, and its listing names construction crews among its audiences. It combines a time clock, scheduling, forms and checklists, task management, chat and HR tools such as onboarding and documents with e-signatures. A free plan for small teams is listed.

  • Best for: crews that need mobile clock-in, job forms and daily communication.
  • Watch out for: it covers time and workforce management, not payroll or tax filing, so pair it with a payroll provider.

Hubstaff: GPS job sites with automatic clock-in

Hubstaff is time tracking and workforce management software with automated timesheets, GPS job sites that clock people in and out, attendance, shifts and tools that turn approved hours into payments. Its activity tracking and optional screenshots are aimed at monitoring productivity, which may not suit field crews, but the GPS job-site clock does.

  • Best for: companies that want location-based clock-in and automatic timesheets for field crews.
  • Watch out for: the listing does not describe certified payroll, union rules or payroll tax filing, and it has no free plan, only a trial.

For more on the time side, see the guide to time tracking software for construction.

Best open-source option for payroll

Frappe HR: self-hostable HR and payroll from the ERPNext team

Frappe HR is open-source HR and payroll software, licensed under GPL-3.0, from the team behind ERPNext. It covers the employee lifecycle, leave policies, attendance with geolocation check-in, expense claims, and payroll with salary structures, income tax slabs and salary slips, plus a mobile app. It is free to self-host, with managed hosting available.

  • Best for: technical teams that want to host HR and payroll themselves.
  • Watch out for: the listing does not mention US payroll tax filing, prevailing wage or certified payroll, so a US contractor needs to confirm those before relying on it.

Best for contractors outside the US

MYOB: payroll plans for Australian and New Zealand businesses

MYOB is accounting, payroll and business management software popular with small businesses and accountants in Australia and New Zealand. Its range includes a payroll-only plan and AccountRight plans for established businesses with payroll, inventory, multiple locations and jobs. Certified payroll is a US concept and does not apply there. Australian builders may also look at BuildLedger, a construction management platform with job costing and Xero and MYOB sync, though it is not a payroll product.

  • Best for: Australian and New Zealand contractors who want payroll alongside accounting and job tracking.
  • Watch out for: it is built around local tax and payroll rules, so it is not for US contractors.

What should a contractor check before choosing payroll software?

Two requirements decide most purchases.

  1. Will it handle your type of work? If you take public or federally funded jobs, ask each vendor whether the certified payroll report and prevailing wage rates are built in, tied to a higher plan, or provided by a partner. The sources here show three patterns: built in (Trimble Viewpoint, CMiC and ADP Workforce Now for Construction), plan-dependent (QuickBooks) and partner-based (Paychex).
  2. How do hours reach the job? Payroll that runs on the same system as job cost (CMiC, Trimble Viewpoint) removes re-entry. QuickBooks uses weekly timesheets with project names, Gusto offers job costing reports, and time-clock apps such as Connecteam and Hubstaff need an integration or an export into payroll. Ask how each connects before you roll it out to the field.

Pricing also differs: ADP, Paychex, CMiC and Trimble Viewpoint use quote-based pricing, while others publish plans. See the free payroll software guide if budget is the constraint.

Which payroll software for construction should you choose?

  • Choose Trimble Viewpoint or CMiC if you want payroll, union rules, prevailing wage and job costing inside one construction ERP.
  • Choose ADP if you want a large payroll provider with a construction product and partner apps.
  • Choose Paychex if you want a mainstream provider and will add a certified payroll partner.
  • Choose QuickBooks if you already keep your books there and your plan includes certified payroll.
  • Choose Gusto if you run a small crew, mostly private work and want simple payroll and job costing reports.
  • Add Connecteam or Hubstaff if the problem is capturing crew hours on site.
  • Choose Frappe HR if you want open-source payroll and have the technical skill to run it.
  • Choose MYOB if you operate in Australia or New Zealand.

Frequently asked questions

What is the best payroll software for construction companies?
It depends on size and the work you bid. Trimble Viewpoint and CMiC are construction ERPs with payroll, union and prevailing wage handling and job costing, aimed at larger contractors. ADP, Paychex and QuickBooks are general payroll providers that each describe certified payroll or prevailing wage support, in different ways. Gusto and Connecteam suit smaller crews, with the caveats covered in the guide.
What is certified payroll and which software supports it?
Certified payroll is a weekly report that contractors on federally funded construction projects submit to show workers received prevailing wages for their job classification under the Davis-Bacon Act. ADP Workforce Now for Construction, QuickBooks Online Payroll Elite and Premium, Trimble Viewpoint and CMiC describe support, and Paychex lists it through marketplace partners. Confirm plan and state requirements with the vendor.
Can QuickBooks run certified payroll for a contractor?
Intuit's help pages say the certified payroll report is available in QuickBooks Online Payroll Elite and Premium, and employee time has to be entered on a weekly timesheet against a project with standard and overtime hours. Intuit also documents prevailing wage and certified payroll setup for QuickBooks Desktop Payroll. It is not listed for lower payroll tiers, so check your plan.
Is there free or open-source payroll software for contractors?
Frappe HR is an open-source HR and payroll system that is free to self-host, with salary structures, attendance with geolocation check-in and a mobile app. Its listing does not mention US payroll tax filing, prevailing wage or certified payroll, so a US contractor must verify those. Connecteam has a free plan for small teams, but it covers time tracking and HR tools rather than paying wages.
How do construction companies track crew hours by job for payroll?
Crews clock in on a mobile time clock, and hours are coded to a job so they flow into payroll and job costing. Connecteam and Hubstaff offer time clocks, and Hubstaff lists GPS job sites with automatic clock-in. Construction ERPs such as CMiC and Trimble Viewpoint run payroll on the same database as job cost, and QuickBooks uses weekly timesheets with project names.
