Best Accounting Software for Contractors in 2026: Job Costing, Invoicing and Construction Options

The best accounting software for contractors and builders: QuickBooks, Xero, JobTread, Buildertrend, trade invoicing apps and construction ERP compared.

By , founder of NQM Studio LTDUpdated 11 min read

Accounting software for contractors needs to answer one question that ordinary bookkeeping does not: did each job make money? For a small contractor who wants job costing inside a normal ledger, QuickBooks Online (Plus or Advanced) and Xero with Xero Projects are the usual starting points. Builders who want estimates, schedules and client approvals tied to the budget look at JobTread, Buildertrend or, in Australia, BuildLedger. A solo trade that mainly needs quotes and invoices from a phone can start with InvoiceSonic, Fabro, TradeTab or InvoiceMama.

This guide groups 13 options by job: job costing in the ledger, construction management that syncs to your books, quoting and invoicing apps, and construction ERP for bigger firms. Few open-source tools target builders, so the list says so plainly. It is not tax or legal advice, and rules for subcontractors, retainage and sales tax differ by country.

Live data from Enlisted: GitHub stats sync daily; pricing comes from each vendor's pricing page. “Vendor edition” means closed source, with a version the vendor lets you run on your own servers.

What contractors need from accounting software

Vendor pages for this audience keep naming the same jobs, and they are a better checklist than a generic feature list:

  • Costs by job. Labor, materials and supplier bills assigned to a specific project, so you can compare actual cost with the estimate. QuickBooks and Xero both describe this on their pages for construction.
  • Staged billing. Deposits, milestone payments and a final balance. Fabro builds invoices around these stages, and JobTread lists AIA payment applications.
  • Change orders. JobTread, Buildertrend, TradeTab and CMiC all name change orders as a feature.
  • Paying subcontractors and suppliers. Xero describes paying subs from the same app, and the larger ERP suites add subcontractor and workflow tools.
  • A route into the ledger. If the job tool is not an accounting system, it needs to sync to one.

Which of these you need first depends on whether you are one person with a van or a firm with a project manager.

How we picked

Each product either does construction accounting itself or does a contractor-specific job next to an accounting system. Enlisted checks the vendor's own pages for the contractor use case, such as job costing, change orders or trade invoicing, then notes the pricing model and whether you can self-host. Generic invoice makers that do not name contractors were left out. For the method, see how Enlisted ranks tools, or browse the finance category and the ERP category.

Best accounting software for contractors that tracks costs by job

These are general accounting products that add job costing through projects. Both are hosted and closed-source, and both are built around sharing the books with an accountant.

1. QuickBooks: best for job costing inside a familiar ledger

QuickBooks is Intuit's accounting software family for small businesses, and its job costing page says QuickBooks Online Plus and Advanced include job costing once you turn on Projects. It tracks labor, materials and supplier costs by project and offers an estimates-versus-actuals report, with QuickBooks Time and Workforce feeding hours and payroll costs.

Intuit also lists integrations with construction apps such as Buildertrend, Knowify, Houzz Pro and Housecall Pro, so many contractors keep QuickBooks as the ledger and add a job tool. For larger firms there is a contractor edition of QuickBooks Desktop Enterprise with job costing, estimates, field service tools and mobile time tracking, sold as a desktop subscription with optional cloud hosting. Intuit's page for it does not mention retainage or certified payroll. See QuickBooks alternatives and the longer QuickBooks alternatives guide.

  • Best for: small contractors whose accountant already works in QuickBooks.
  • Watch out for: job costing sits on the higher online tiers, there is no self-hosted version, and trade-specific features such as progress billing need checking.

2. Xero: best for contractors who want projects, quotes and bank feeds together

Xero is cloud accounting software that connects to your bank, accountant and apps. For contractors, Xero's construction pages describe Xero Projects, which tracks hours, labor and materials against each job so you can see profit as the work happens, along with quoting, invoicing and paying subcontractors from the same app.

Xero also lists estimating and quoting pages for contractors. The product has no free plan, only a trial, and the plan that includes projects should be confirmed on Xero's pricing page. Browse the Xero listing or Xero alternatives for hosted and open-source substitutes.

  • Best for: contractors who live on their phone and want quoting, job costs and bank reconciliation in one hosted product.
  • Watch out for: it is a general accounting tool, so retainage, certified payroll and detailed construction reports may need an add-on or a construction-specific system.

Best construction management software that syncs to your accounting

These tools run the job: estimates, budgets, change orders and client approvals. None replaces your ledger, so check which accounting system each one syncs with.

3. JobTread: best for remodelers and builders who want estimating and job costing together

JobTread is a construction management platform that combines a CRM, estimating and takeoff, contracts with e-signatures, scheduling, budgets, change orders, job costing and customer portals with online payments. It names home builders, remodelers, roofers, pool builders and specialty and commercial contractors among its users.

For accounting, JobTread's QuickBooks Online integration syncs invoices, bills, payments and vendors, maps cost codes to QuickBooks products and services, and can create jobs as QuickBooks projects. JobTread sells one plan with every feature and charges for additional internal users. See the JobTread listing.

  • Best for: contractors who want sales, estimating and job financials in one product with QuickBooks as the books.
  • Watch out for: it is not a ledger, and the QuickBooks Online sync is the documented route, so check any other accounting system before you commit.

4. Buildertrend: best for residential builders running many jobs

Buildertrend is a cloud construction management product for residential home builders and remodelers. Its financial tools list detailed estimating, change order management, job costing, budget tracking, expense management, invoicing and profit reporting.

Buildertrend's QuickBooks integration describes a two-way sync of jobs, clients, subcontractors, vendors, bills, invoices, deposit payments, credit memos and time clock entries. Enlisted lists it as a paid product, and plan prices are not recorded here, so request a quote. Compare it with project tools in the guide to project management software for construction.

  • Best for: established residential builders and remodelers who want one system from estimate to completion.
  • Watch out for: it is aimed at residential builders and remodelers, so commercial or civil contractors should check the fit, and you still need a ledger such as QuickBooks.

5. BuildLedger: best for Australian builders who use Xero or MYOB

BuildLedger is a construction management platform built in Australia for builders and trades, covering estimating and quoting, scheduling, purchase orders, invoices, a client portal, safety and subcontractor management. It adds live job costing so margin is visible while a project runs.

Its AI invoice capture pulls supplier invoices from Gmail and Outlook, and two-way sync with Xero and MYOB keeps accounting records aligned. It is a paid product with a trial, built for the Australian market, so builders elsewhere should check local tax and payroll handling. See the BuildLedger listing.

  • Best for: Australian renovation builders and trades that already keep their books in Xero or MYOB.
  • Watch out for: it is aimed at Australia and syncs to Xero and MYOB, so it does not suit a QuickBooks-based firm.

Best quoting and invoicing apps for tradespeople

If you are a plumber, electrician or handyman, you may not need a construction platform. These apps handle the quote-to-payment path and leave bookkeeping to a ledger or an accountant.

6. InvoiceSonic: best for trades that want quotes, scheduling and invoices on one job record

InvoiceSonic is quote, schedule and invoice software for trades and service businesses that follows a job from enquiry to payment. Customers approve quotes online, you schedule the visit, bill from the same record and track unpaid balances, with web and iPhone apps.

It lists payment options such as Zelle, Venmo, ACH and PayID and says the app adds no transaction fee of its own. The free account has monthly limits, with paid plans for more. It does not describe job costing, so pair it with a ledger.

  • Best for: tradespeople who want a free start and customers who pay by bank transfer or app.
  • Watch out for: no job costing or bookkeeping is listed, and free-plan limits apply.

7. Fabro: best for staged billing on building jobs with VAT

Fabro is a quote and invoice tool for construction tradespeople that splits long jobs into deposits, project milestones and a final balance, and tracks what has been paid and what is overdue. Documents carry VAT fields, itemized lines, dates and payment terms.

On its Pro plan it adds Stripe payment links, scheduled reminders, late-fee rules and French e-invoicing files in Factur-X, UBL and CII formats. The VAT fields and French formats point to a European audience, so US contractors should check tax handling. It offers a Pro trial.

  • Best for: self-employed builders who bill in stages and need VAT-ready documents.
  • Watch out for: its tax and e-invoicing features are European, and it is not a ledger.

8. TradeTab: best for invoicing from the truck with AI line items

TradeTab is a browser-based invoice app for plumbers, electricians, handymen and other trades. You pick a job type, an AI suggests line items and prices you can edit, and the invoice goes to the client as a PDF or a link with a card pay link.

It also covers estimates, change orders, client records with invoice history and before-and-after job photos. Enlisted records a few free sends before a paid plan, with no card needed to start.

  • Best for: small crews replacing invoicing spreadsheets.
  • Watch out for: it handles billing, not accounting, and the AI suggestions are drafts you must price-check.

9. InvoiceMama: best for contractors who also want to scan receipts

InvoiceMama is an invoicing app aimed at contractors, freelancers and small businesses without accounting skills. It creates invoices and estimates, converts an estimate into an invoice, and scans receipt photos to categorize costs such as materials, fuel and tools.

It is free to start and has paid tiers with higher limits on invoices, estimates, products and tracked expenses. See the InvoiceMama listing.

  • Best for: one-person contractors who want invoices and basic expense tracking in a mobile app.
  • Watch out for: plan limits apply, and there is no job costing or full bookkeeping.

Best construction ERP for larger contractors

Once you have payroll, equipment, retainage and many projects, small-business accounting runs out of room. These are sold through sales conversations rather than published prices, and all four are closed-source and hosted.

10. Trimble Viewpoint: best for contracting firms that want ERP plus field tools

Trimble Viewpoint is the construction software line from Trimble, covering accounting and project management through to mobile tools for crews. Its two core ERP suites are Vista and Spectrum, with companion HR products and, for Vista, a field management product that links crews to the ERP.

  • Best for: contractors that want job costing, workflows and reporting connected from office to field.
  • Watch out for: pricing is by quote, and an ERP project needs implementation time.

11. CMiC: best for general contractors and subcontractors tracking change orders and retainage

CMiC is construction ERP software that combines financial accounting with project management for general contractors, subcontractors and heavy-highway firms. Enlisted's data lists construction financials, job costing, change orders, document and drawing management, and workflow automation, with retainage among its use cases.

  • Best for: mid-sized and larger contractors who want accounting and project controls in one system.
  • Watch out for: pricing is not published, and a small trade business will find it far more than it needs.

12. Acumatica: best for growing contractors who want cloud ERP without per-user fees

Acumatica is a cloud ERP whose licensing is based on resource consumption instead of the number of users. It lists financial management and project accounting, multi-entity accounting, CRM and payroll modules, and industry editions including construction.

  • Best for: construction firms growing past small-business software that want many users without per-seat licensing.
  • Watch out for: pricing is tailored and not published, and the edition and modules you need must be confirmed with a partner.

For government contractors, Deltek sells project-based ERP, with Costpoint for government contracting and ComputerEase for construction accounting and job costing. Procore is another construction platform with financial workflows, sold by quote on annual construction volume; see its listing.

Best open-source option for contractors

13. ERPNext: best free ERP for contractors with technical help

ERPNext is a free open-source ERP on the Frappe framework with accounting, inventory, projects, HR and more. Frappe publishes a construction page that describes linking expenses to projects, budgets against projects with warnings on overruns, timesheets for labor, subcontractor tracking and progress measured by percentage complete.

It is released under GPL-3.0 and can be self-hosted, with a paid hosted service from Frappe Cloud. It is not built only for builders, and the setup is real work; Frappe's marketplace also lists extension apps for engineering and construction firms. Browse more in the ERP category.

  • Best for: a contractor with a developer or IT partner who wants project costing and accounting on their own server.
  • Watch out for: it is a general ERP rather than a construction product, so workflows take configuration time.

Other tools that came up

Several catalogue entries are regional. Flow is a UK invoicing platform with CIS invoicing for subcontractors, InstantTradeQuote creates UK trade quotes, Mudur.OS is French construction site management with quotes and invoices, and Brinkr is a Spanish-language tool that matches delivery notes to invoices. If payroll is the sticking point, read the guide to payroll software for construction, and see time tracking software for construction for crew hours.

What contractors should check before buying

  • Where job costing lives. In QuickBooks it sits on Plus or Advanced, in Xero it is Xero Projects, and in JobTread and Buildertrend it sits in the construction tool and syncs to the books. Decide which system is the source of truth.
  • Which ledger the tool syncs with. JobTread and Buildertrend document QuickBooks sync, BuildLedger documents Xero and MYOB, and others may sync with nothing. Ask your accountant first.
  • Staged billing and change orders. If you invoice deposits, milestones or change orders, see that the tool produces them without retyping.
  • Your country. Several tools here are built for one market, such as Australian, French or UK subcontractor rules.
  • Pricing model. Some are per plan, JobTread charges for extra internal users, Acumatica prices by usage and CMiC and Procore quote by sales. Compare the cost for your headcount and project volume.

Which accounting software should a contractor choose?

  • Solo trade, quotes and invoices only: InvoiceSonic, Fabro, TradeTab or InvoiceMama, plus a bookkeeper.
  • Small contractor wanting costs by job in the books: QuickBooks Plus or Advanced, or Xero with Projects.
  • Residential builder or remodeler running many jobs: JobTread or Buildertrend, syncing to QuickBooks.
  • Australian builder on Xero or MYOB: BuildLedger.
  • Mid-sized or larger firm with retainage and complex projects: Trimble Viewpoint, CMiC or Acumatica.
  • Technical team that wants control: ERPNext.

For a cheaper start across all small businesses, the free accounting software guide covers free plans and open-source ledgers.

Frequently asked questions

What is the best accounting software for contractors?
For a small contractor, QuickBooks Online Plus or Advanced and Xero are the usual starting points because both track costs by job inside a normal ledger. Builders who also want estimates, schedules and client portals often add JobTread or Buildertrend and sync it to the books. Larger contracting firms look at construction ERP such as Trimble Viewpoint, CMiC or Acumatica.
What is job costing and why do contractors need it?
Job costing means recording the labor, materials and vendor bills against each job so you can see whether that job made money. Contractors need it because a profit and loss report for the whole company hides which jobs lost money. QuickBooks lists job costing under its Plus and Advanced plans, and Xero offers it through Xero Projects.
Is there free accounting software for contractors?
There are free starting points but few full solutions. InvoiceSonic and InvoiceMama have free accounts with limits, and ERPNext is open source and free to self-host, though it is an ERP that takes setup. Job costing inside a ledger is usually on paid tiers, so check what the free plan leaves out.
Can QuickBooks handle construction accounting?
QuickBooks Online Plus and Advanced include job costing through Projects, and Intuit lists integrations with construction apps such as Buildertrend. QuickBooks Desktop Enterprise has a contractor edition with job costing, estimates and mobile time tracking. Intuit's contractor page does not mention retainage or certified payroll, so larger firms should confirm those needs.
Do I need construction management software as well as accounting software?
Not always. A one-person trade can quote, invoice and track costs with an invoicing app plus a ledger. Once you run several jobs with subcontractors, change orders and client approvals, tools such as JobTread, Buildertrend and BuildLedger put estimating and job costing in one place and sync to your accounting system.
