Accounting Software for Property Management in 2026: Landlord Platforms, Per-Property Books and Open Source

Accounting software for property management and real estate investors: landlord platforms with rent tracking, per-property books and open-source options.

By , founder of NQM Studio LTDUpdated 8 min read

Accounting software for property management falls into three groups: landlord platforms that include rent tracking and reports, general accounting tools set up to report by property, and open-source ERP systems with property add-ons. Rently suits small US landlords who want rent collected automatically with profit and loss reports, QuickBooks and Xero suit owners whose accountant wants proper books by property, and Rentably suits private landlords in Germany.

The catalogue has few tools built for this audience, so this guide uses the ones that exist and is honest about the gaps. Picks are grouped by job. Investor and developer needs get their own section.

Property management software or accounting software: which do you need?

Property management software tracks the rental business: properties, tenants, leases, rent due dates, maintenance and, in some products, rent collection. Accounting software tracks the money: income, expenses, bank reconciliation and statements that go to an accountant or tax return. Landlord platforms such as Rently add profit and loss reports and tax-ready exports to the first kind. General accounting products such as QuickBooks and Xero do the second job and need configuring so each property is its own reporting unit.

For a landlord with a handful of units, one landlord platform may be enough. For a manager with many owners and properties, or an investor whose accountant wants real books, the usual pattern is a property tool for the day-to-day and an accounting system for the numbers. Xero's app marketplace lists property apps such as Landlord Studio and Re-Leased that connect to its ledger.

How we picked

Enlisted looked for tools whose descriptions mention landlords, rentals, tenants or property owners, then checked each against the catalogue (licence, hosting, pricing model) and the vendor's pages. Where a tool only fits loosely, the text says so. Nothing here is a product trial: it reports what those sources say. See how Enlisted ranks tools for the method. Prices and GitHub activity appear live in the cards and table.

Best landlord platforms with rent tracking and built-in reports

Rently: rent collection, maintenance and profit and loss for small landlords

Rently is a hosted property management platform for small landlords that collects rent automatically, tracks maintenance, screens tenants and reports finances. Its site describes tenants invited by magic link with no app to download, rent withdrawn automatically and deposited to your account, and real-time profit and loss reports, expense tracking and tax-ready exports. A multi-unit dashboard covers several properties, and a free starter tier exists for a small number of units.

  • Best for: small landlords who want rent collection and simple reports without a separate accounting package.
  • Watch out for: it is landlord software with reports rather than a double-entry ledger, and its site does not state which countries it supports.

RentCla: spreadsheet-style rental CRM with leases and a rent calendar

RentCla is a hosted rental management CRM for rental agencies and landlords that shows properties, tenants, contracts, payments and documents in an editable spreadsheet-style grid. It generates leases from templates as PDF or DOCX, tracks collection in a rent calendar with automatic receipts and email reminders, and handles CPI rent updates. Roles, permissions and an audit log support multi-user agencies, and data exports to Excel, CSV, PDF and JSON. A free plan exists for a single property.

  • Best for: agents and landlords replacing Excel and Word files with one system.
  • Watch out for: its pages describe rent tracking and contracts, not bookkeeping or tax reporting, so pair it with accounting software.

Rentably: free Basic plan for private landlords in Germany

Rentably is German rental management software for private landlords, with its site in German. It links a bank account to match payments automatically, includes accounting for Anlage V and residual debt calculation, produces utility cost statements (Nebenkostenabrechnung) with allocation keys, and offers a tenant portal with a ticket system. The Basic plan is free with unlimited properties, and Pro features are free for the first 30 days.

  • Best for: private landlords in Germany replacing Excel and paper files.
  • Watch out for: it is built around German rules and the German language, so it does not suit landlords elsewhere.

Vermieter1.de: utility statements and digital handovers for German landlords

Vermieter1.de is German browser software for private landlords built around the annual utility cost statement. It also covers heating cost statements, a digital apartment handover protocol with photos, meter readings and signatures, tenant and deposit management, a payment overview with connected bank accounts, and tax preparation. Data is stored in Germany, and the first apartment is free.

A narrower option is Nebenkosten Butler, which reads an uploaded utility statement with AI and builds the tenant's prorated bill as an editable PDF.

  • Best for: German landlords who need utility statements and move-in documentation.
  • Watch out for: it is German-market software, and the free tier covers only the first apartment.

Best accounting software for per-property books

QuickBooks: classes and locations to split books by property

QuickBooks is Intuit's accounting product family covering bookkeeping, invoicing, payments, payroll and time tracking. For property work, Intuit's help pages describe using QuickBooks Online classes or locations to tag each transaction to a property, with reports by class, and note that those features are on the Plus and Advanced plans. They also describe accounts for rent income and for security deposits as a liability. If you want to compare it with other ledgers, see QuickBooks alternatives.

  • Best for: owners and managers whose accountant already works in QuickBooks.
  • Watch out for: per-property reporting needs the right plan and setup, and QuickBooks does not collect rent by itself.

Xero: tracking categories for property and owner reports

Xero is cloud accounting software for small businesses that connects to your bank, accountant and apps for invoicing, bills and reconciliation. Its landlord pages describe tracking categories used to tag transactions to a property or owner, so income and expenses can be reported by property without separate accounts for each one. The Xero app marketplace lists property apps such as Landlord Studio and Re-Leased. Compare it with similar products in the Xero alternatives list.

  • Best for: landlords and managers who want an accountant-friendly ledger that connects to rental apps.
  • Watch out for: it has no free plan, and rent collection comes from connected apps rather than from Xero itself.

Quicken: rental income and expense tracking for individual landlords

Quicken is a personal finance product family whose Business and Personal edition covers invoicing, expense tracking, tax tracking and rental property tracking. Its own pages describe property-level income and expense tracking and Schedule E reporting for US landlords, with transactions that can be split between properties or between business and personal accounts. See Quicken alternatives for other options.

  • Best for: US landlords who own a few rentals and want personal and rental finances in one place.
  • Watch out for: it is built around US tax schedules and individual use, and it has no free plan.

Best open-source options for property accounting

Odoo: open-source ERP with invoicing, rental contracts and maintenance

Odoo is open-source business software with accounting, invoicing, projects and other apps that run in the browser and can be used alone or together. Odoo's own property management page lists automated invoicing from contract terms, rental contract creation, maintenance schedules and inspections, and meter readings and move-in logs. A free plan for one app is listed, and the licence is shown as Other on GitHub, so check the repository for exact terms. Odoo's app store also lists many third-party property modules.

  • Best for: property managers who want rental contracts, maintenance and accounting in one open-source system.
  • Watch out for: it takes setup and some technical skill, and third-party modules vary in quality and upkeep.

ERPNext: GPL-3.0 ERP with accounting, projects and assets

ERPNext is a free open-source ERP built on the Frappe framework, licensed under GPL-3.0, covering accounting, inventory, orders, manufacturing, assets and projects. The Frappe Cloud Marketplace lists third-party property management apps that add leases, units and rent billing on top of it. ERPNext can be self-hosted, and managed hosting is available.

  • Best for: technical teams who want a self-hosted ledger with project and asset tracking.
  • Watch out for: property features come from third-party add-ons rather than the core product, so check each add-on's maintenance before you build on it.

For other open-source ledgers, see Bigcapital or the free accounting software guide.

Best accounting software for real estate investors and property developers

Investors and developers need different things from landlords. An investor wants to know what each property yields after interest, depreciation and tax. A developer wants budgets and costs per project.

mainaro: after-tax cash flow per property for German owners

mainaro is a German-language platform for people who own rental property in Germany that accounts for interest, repayment, depreciation (AfA) and tax per property to show what is left each month. Listed features include AI-assisted document capture, a location score, a debt service stress test and an exit simulation. Anlage V export and a DATEV or B2B interface are marked as coming.

  • Best for: German owners who want to see yield after tax rather than just rent received.
  • Watch out for: it is an analysis tool rather than bookkeeping, and its tax exports are listed on its site as coming rather than live.

For deal screening before you buy, Curvature is a property investment analysis tool, though its public details are limited. For developers, Enlisted lists no accounting tool built specifically for development projects. Odoo and ERPNext offer projects alongside accounting, and the contractor-focused ERPs CMiC and Trimble Viewpoint are aimed at contractors rather than owners, so ask any vendor how it handles budgets against costs for a development.

What should landlords and property managers check before buying?

Two requirements decide most purchases.

  1. Can it report by property or owner? QuickBooks needs classes or locations on a qualifying plan, Xero uses tracking categories, Quicken tracks at property level, and Rently and the German tools report within their own platforms. Ask for a sample report and check that it matches what your accountant files.
  2. Who handles rent and deposits? Rently collects rent. QuickBooks and Xero do not, and Xero points to connected property apps. Intuit's help describes recording security deposits as a liability. None of the sources in this guide describe trust or escrow account handling for money held on behalf of owners, so if you hold funds for others, confirm that with the vendor and your accountant.

Also check the country. Several tools here are built for German rules and the German language, and Rently's site does not state its supported countries.

Which accounting software should you choose for property management?

  • Choose Rently if you are a small US landlord who wants rent collection and basic reports in one place.
  • Choose RentCla if you manage leases and rent for several owners and want a spreadsheet-style CRM.
  • Choose Rentably or Vermieter1.de if you are a private landlord in Germany.
  • Choose QuickBooks or Xero if your accountant wants proper books split by property.
  • Choose Quicken if you are an individual US landlord with a few rentals.
  • Choose Odoo or ERPNext if you want to self-host and can maintain it.
  • Choose mainaro if you are a German owner who wants yield after tax.

For wider options, see finance software and ERP software on Enlisted. Contractors who work on properties may prefer the guide to accounting software for contractors.

Frequently asked questions

What is the best accounting software for property management?
For small landlords, Rently is a hosted platform that collects rent and produces profit and loss reports, while QuickBooks and Xero are general accounting tools that can report income and expenses by property. For landlords in Germany, Rentably and Vermieter1.de cover rent, tenants and utility statements. Larger managers who want to self-host can look at Odoo or ERPNext with property modules.
Can QuickBooks or Xero track income and expenses for each rental property?
Yes, with setup. Intuit's help pages describe using classes or locations in QuickBooks Online to tag transactions by property, and Intuit notes that these features are on its Plus and Advanced plans. Xero's landlord pages describe tracking categories that tag transactions to a property or owner so reports can be split by property.
Do landlords need property management software or accounting software?
They do different jobs. Property management software such as Rently, RentCla or Rentably handles tenants, leases, rent collection or reminders and maintenance. Accounting software such as QuickBooks or Xero keeps the books and financial statements. Small landlords may be fine with a property platform that includes reports, while larger portfolios often pair the two.
Is there free or open-source accounting software for landlords?
Some options have free tiers: Rently, RentCla and Rentably list free plans with limits on units or features. Open-source choices include Odoo and ERPNext, which can be self-hosted and extended with property modules, though the property features come from add-on apps. Confirm what each free plan includes, because limits and country support vary.
What accounting software suits real estate investors and property developers?
Investors who own rental properties usually need per-property income and expense reporting, which QuickBooks, Xero and Quicken can provide. Property developers need project budgeting against costs, which is closer to what ERP systems such as Odoo and ERPNext offer. Enlisted lists no accounting tool built specifically for developers, so ask vendors about project costing.
