Best Booking Software for Small Business in 2026: Appointments, Reminders and Payments

Booking software for small business: Setmore, SimplyBook.me, Trafft, Acuity, Square Appointments and open-source Easy!Appointments compared.

By , founder of NQM Studio LTDUpdated 11 min read

The best booking software for a small business depends on how you take payments and how many people are on your team. Setmore, SimplyBook.me and Trafft have free plans for a small team, Acuity Scheduling adds intake forms and recurring appointments, and Square Appointments suits businesses that already take card payments with Square. Easy!Appointments is the open-source choice if you want to host booking yourself.

This guide covers customers booking your time: online booking pages, reminders that cut no-shows, and payment at booking. Picks are grouped by what a small business usually needs first, and the live table shows pricing model, licence and self-hosting for each.

Live data from Enlisted: GitHub stats sync daily; pricing comes from each vendor's pricing page. “Vendor edition” means closed source, with a version the vendor lets you run on your own servers.

How we picked

Enlisted kept tools whose core job is letting customers book a service online, with a calendar, reminders and, for most, payments. For hosted products it records whether a free plan or trial exists, taken from the vendor's pricing page. For open-source tools it checks the licence, self-hosting support and recent GitHub activity. Tools aimed at one industry, such as salons or restaurants, are mentioned briefly and linked, because this guide is for general service businesses. Meeting-link tools for sales calls are covered in the free scheduling software guide. The method is in how Enlisted ranks tools.

What does a small business need from booking software?

Four things decide whether a booking tool works for a small service business:

  • A booking page or widget customers can reach from your website, social profiles or Google.
  • Reminders by email or text, to reduce no-shows.
  • Payments, from a card at booking to a deposit, ideally without a commission per booking.
  • A calendar that stays in sync with the one you already use, so a booking never lands on a busy slot.

Most tools on this list cover the first two. They differ most on payments, on what the free plan includes, and on how pricing scales as you add staff or bookings.

Best free-to-start booking software for a small team

These four have free plans, so you can run real bookings before paying.

1. Setmore: best free plan for a small team of service providers

Setmore is online appointment scheduling software with a booking page, calendar, reminders and a free plan for small businesses. It adds an embeddable website widget, class booking, staff scheduling, mobile apps and a live receptionist service, with integrations including Stripe, Square, Zoom, Google Calendar and WordPress.

Setmore's pricing page compares the plans. The free plan, for a small team, includes email reminders, online and in-person payments, a branded booking page and the mobile apps. The paid Pro plan adds text reminders, two-way calendar sync, recurring appointments, deposits and removal of Setmore branding. See the Setmore page.

  • Best for: barbers, trainers, photographers and independent practitioners who want to start at no cost.
  • Watch out for: on the vendor's comparison, text reminders, two-way calendar sync and recurring appointments are paid features, and pricing is per user on Pro.

2. SimplyBook.me: best free plan for a branded booking website

SimplyBook.me is an online booking system for businesses that take appointments, including beauty and wellness, education, medical, sports, events and driving lessons. Customers book at any hour, get reminders and can pay online through a hosted booking website or a widget in your own site.

The feature list covers calendar sync, online and on-site payments, Facebook and Instagram bookings, marketing tools and AI voice booking, with Zapier for automation. The free plan is capped by number of bookings, and the paid plans carry no per-user charge. See the SimplyBook.me page.

  • Best for: small businesses that want a booking website, social media booking and pricing that does not rise with every staff member.
  • Watch out for: a busy business will outgrow the booking cap on the free plan.

3. Trafft: best for booking without per-booking commissions

Trafft is booking software for service businesses with online scheduling, automated reminders, payments and no booking commissions. It supports extras, coupons and refunds, and connects with WhatsApp, PayPal, Zoom, Microsoft Teams, Zapier and Google Calendar.

It also supports Reserve with Google, so people can book from Search and Maps, and offers a WordPress plugin that places the booking form on any page. Enlisted lists a free-forever plan limited by appointments and users, with paid plans scaled by user count. See the Trafft listing.

  • Best for: salons, consultants and agencies that want payments and a Google booking button without commission.
  • Watch out for: the free plan covers a single user and a capped number of appointments, so teams move to paid plans quickly.

4. Picktime: best free plan covering appointments, classes and resources

Picktime is online booking software with a free plan for scheduling appointments, group classes and resources such as rooms. It offers a mobile app for customers and an app for staff, and integrations across calendars, video conferencing, CRM, marketing and payments.

Enlisted lists a free plan for a few users and per-user paid plans billed annually. The vendor's pages are lighter on detail than some rivals, so check exactly which reminders and payment options the free plan includes. See the Picktime entry.

  • Best for: small studios and teams that book rooms or equipment as well as appointments.
  • Watch out for: the free plan has a user limit, and Enlisted's data is thin on payment and reminder specifics.

Other hosted booking pages are in the same family. Bookura gives a small service business a booking page with live availability and instant confirmations, with a free plan, and Koalendar offers a free booking page with calendar sync, payments and team scheduling. Bookify is a paid option with a branded booking page, team calendar, text reminders and payments.

Best when you want payments, packages and client forms

5. Acuity Scheduling: best for intake forms, recurring appointments and paid bookings

Acuity Scheduling is an online appointment booking tool with payments, intake forms, class scheduling and calendar sync for businesses that sell time. The vendor groups its features under client experience, payments and invoicing, and business management, including a point of sale, client records, a website builder and a mobile app.

Its help centre describes recurring appointments, where clients choose how often a visit repeats, and the vendor also offers packages and subscriptions for routine services. Intake forms let you collect details before the visit. It has no free plan, only a trial, and plans scale by tier. See the Acuity Scheduling page.

  • Best for: coaches, consultants, stylists and tutors who take paid, repeat bookings and want forms collected up front.
  • Watch out for: no free plan, and a closed-source hosted service.

6. Calendesk: best for selling session packages and subscriptions

Calendesk is appointment scheduling software for therapists and service businesses with online booking, payments, passes, client portals and a website builder. Clients pick a time, pay and confirm online, and a pass or subscription lets them buy a package of sessions or a monthly membership that is charged automatically.

It also lists an AI automation feature for emails, payments, documents and invoices that you approve, a staff app, and integrations with Zoom, Google Meet, Stripe and WhatsApp. Plans are paid, with a trial and tiers capped by team size and monthly bookings. See the Calendesk page.

  • Best for: therapists, coaches, lawyers and dietitians selling session bundles.
  • Watch out for: no free plan, and tier caps on staff and bookings mean you should check the ceiling for your volume.

7. Bookeo: best when you sell appointments, classes or tours

Bookeo is online booking and reservation software with three editions: Bookeo Appointments for salons, spas, therapists and photographers, Bookeo Classes and Courses for tutoring, yoga, dance and cooking schools, and Bookeo Tours and Activities for guided tours, escape rooms and charters.

It handles real-time availability, online payments, automatic reminders and digital waivers, and its marketing tools include prepaid packages, gift vouchers and memberships. Pricing is not published, and Enlisted lists it as quoted after a sales call, with no free plan or trial. See the Bookeo listing. If you run tours, the planned tour operator booking guide goes further.

  • Best for: businesses that run classes or activities and need waivers, packages and vouchers.
  • Watch out for: unpublished pricing makes it hard to compare before you talk to sales.

Best if you already use Square, Microsoft 365 or Zoho

Booking tools that come with a platform you already pay for can save setup time.

8. Square Appointments: best for businesses that already take payments with Square

Square Appointments is booking software from Square that combines online scheduling, client reminders and payments, with real-time sync. It sits alongside Square's payment acceptance, staff scheduling and tools for bringing clients back, and the vendor's site is organised by business type, including beauty and wellness.

Square Free has no monthly subscription fee, but card processing fees are charged separately, and paid Plus and Premium plans are priced per location with trials. See the Square Appointments entry.

  • Best for: salons, barbers and independent providers already on Square.
  • Watch out for: it is tied to the Square platform and its processing fees. If you also need a till, see the planned POS guide for small business.

9. Microsoft Bookings: best for businesses already on Microsoft 365

Microsoft Bookings is an appointment scheduling tool that gives businesses online booking pages, bundled with Microsoft 365 business subscriptions. Microsoft's documentation says it is available in the Business Basic, Standard and Premium plans, with a web-based booking calendar that syncs with Outlook, automated notification emails and reminders, and Teams integration for virtual appointments.

You can create several Bookings calendars with their own setup, customise appointment details and name service providers. Payment collection is not among the features Enlisted found on Microsoft's pages, so confirm it if you need to charge at booking. See the Microsoft Bookings page.

  • Best for: offices, clinics and consultancies that already pay for Microsoft 365 and use Outlook and Teams.
  • Watch out for: it requires a Microsoft 365 business subscription, and Enlisted has little detail on payments.

10. Zoho Bookings: best for Zoho users and solo providers

Zoho Bookings is appointment scheduling software from Zoho that lets customers pick a time slot, fill in a short form and receive confirmation and automated reminders. It syncs calendars, collects payments on paid plans and offers AI-assisted scheduling workflows.

Zoho's pricing page lists a free plan for one user with email reminders and two-way calendar sync. Paid per-user plans add payment collection, text and WhatsApp workflows and recurring one-on-one bookings. See the Zoho Bookings page.

  • Best for: solo consultants and teams already using Zoho apps.
  • Watch out for: the free plan is for a single user and does not collect payments.

Best open-source booking software for a small business

11. Easy!Appointments: best self-hosted booking tool for a business website

Easy!Appointments is an open-source appointment scheduling system, released under GPL-3.0, that you host yourself on PHP and MySQL. It manages appointments and customers, organises services and providers, applies working plans and booking rules, syncs with Google Calendar, sends email notifications and has a REST API.

Because it can be integrated with an existing website and database, it suits a business that wants booking on its own domain without a monthly fee. The project offers premium features and services separately. See the Easy!Appointments entry.

  • Best for: small businesses with web hosting or a developer who want to own their booking data.
  • Watch out for: you install and maintain it, and Enlisted lists no hosted version.

Two more open-source options lean toward individuals. Thunderbird Appointment is an MPL-2.0 tool that lets people book time on your calendar through a shareable page, with Docker installation and a hosted service offered. Cal.diy is the MIT-licensed community edition of Cal.com with team and organization features removed and no hosted service, intended for personal use.

Industry-specific booking platforms

If your business is one of these, a specialist platform may fit better than a general tool:

  • Salons, spas and fitness: Vagaro combines online booking with point of sale and client management, Fresha offers booking and payments with no subscription fee on the business software, and Mindbody covers fitness studios, salons and wellness providers with a consumer booking app. Schedulicity says on its own site that it has become part of Vagaro.
  • Cleaning and home services: see the planned scheduling guide for cleaning businesses, which covers recurring jobs and crews.
  • Restaurants: the planned restaurant booking guide covers tables and reservations.
  • Clinics: the planned healthcare scheduling guide covers practice management.

What should a small business check before buying?

Two requirements decide most choices.

What the free plan leaves out. Free plans are useful for starting, but the missing piece is usually the one you need later. On the vendors' pages, Setmore's free plan has email but not text reminders and no two-way calendar sync, and Zoho Bookings' free plan is for one user without payment collection. Square's free plan has no subscription but charges processing fees. Read each vendor's plan comparison for reminders, payments, deposits and recurring appointments before you commit.

How the price scales. Setmore, Zoho Bookings and Picktime charge per user on paid plans, SimplyBook.me has no per-user charge but caps bookings on its free plan, Square charges per location, Calendesk tiers by team size and bookings, and Microsoft Bookings is bundled with a Microsoft 365 plan you may already have. A three-person salon and a twenty-person clinic will land on different tools, so price each at your real headcount.

Customer records matter too. If you want booking to feed a customer database, see the free CRM software guide, or the planned client management guide.

Frequently asked questions

What is the best booking software for a small business?
It depends on how you take payments and who is on your team. Setmore, SimplyBook.me, Trafft and Picktime have free plans for small teams, Acuity Scheduling adds intake forms and recurring appointments, Square Appointments suits businesses already on Square, and Microsoft Bookings comes with Microsoft 365 business plans. Easy!Appointments is the open-source option you host yourself.
Is there free booking software for small businesses?
Yes, with limits. Setmore, SimplyBook.me, Trafft, Picktime and Square Appointments list free plans, and Zoho Bookings has a free plan for one user. Free plans usually cap team size or bookings and can leave out text reminders, calendar sync, recurring appointments or deposits, so read the plan comparison before you build your business on one.
What is the difference between booking software and a scheduling link like Calendly?
Scheduling links such as Calendly are built for one person offering meeting times, while booking software for small businesses adds services, staff calendars, reminders, payments and often a customer record. If customers book a haircut, a class or a repair visit, choose booking software. If they book a call with you, a scheduling link may be enough.
Can booking software take payments and deposits?
Several tools can. Acuity Scheduling, Trafft, SimplyBook.me, Calendesk and Setmore list online payments, and Square Appointments takes payments through Square. Deposits can sit behind a paid plan, as with Setmore, and processing fees from the payment provider are separate from the software subscription, so check both.
Is there open-source booking software for a small business?
Easy!Appointments is a GPL-3.0 self-hosted appointment scheduler with services, providers, working plans and Google Calendar sync. Thunderbird Appointment is an MPL-2.0 booking page tool, and Cal.diy is an MIT community edition of Cal.com aimed at personal use. You run them yourself, so you handle hosting, backups and updates.
