Wave vs QuickBooks comes down to how much bookkeeping you need. Pick Wave if you want unlimited free invoicing and bookkeeping and can enter transactions by hand. Pick QuickBooks if you want automatic bank connections, tiers with more users, payroll and tools for accountants, and accept that its free plan is tighter and its paid tiers step up in cost as you grow.
Neither can be self-hosted, and both are proprietary products run by the vendor. The sections below compare the pricing model, what each free plan includes, bank connections, users, payments and payroll, drawing on each vendor's own pricing and product pages. FreshBooks and Xero appear in the table for context.

How do the pricing models differ?
Wave keeps it simple. There is a free Starter plan and one paid plan, Pro, billed monthly or yearly, and add-ons such as payroll are priced separately. The other cost is payment processing: online card payments carry a per-transaction fee, and Pro lists a discounted rate for online payments.
QuickBooks has a free plan and then four paid tiers named Simple Start, Essentials, Plus and Advanced. Each tier includes more users and more features, and new customers see introductory discounts, so judge a tier by what it costs after the offer ends. The QuickBooks pricing page lists what each tier adds, and the Wave pricing page shows the Starter and Pro split. Enlisted's live "Pricing compared" section below this guide puts the plan-by-plan prices side by side.
What do the free plans actually include?
They trade different limits. Wave Starter lets you create unlimited estimates, invoices, bills and bookkeeping records, with a dashboard and reports, but you enter transactions manually because automatic bank import is a Pro feature. There is no cap on how many invoices you send.
The QuickBooks Free plan is for one user and includes income and expense tracking, a profit and loss report, one bank connection and chat support. In return, it caps how many invoices you can send each month. The result is that a busy invoicer hits the QuickBooks limit first, while someone who wants bank transactions to arrive on their own gets that sooner on QuickBooks. For other free routes, the free accounting software guide covers hosted free plans and open-source options.
Which is better for sending invoices?
For most freelancers the two are close, and the difference is where each puts its limits. Wave Starter covers invoices and estimates, and estimates can collect deposits to secure a job. The Pro plan adds your logo and brand colors, automated late payment reminders and reusable message templates, and it removes Wave's branding from the footer, so the client-facing polish sits behind the paid plan.
QuickBooks lists professional invoices, automated payment reminders and payments collected through the platform. Its limit is volume: the Free plan caps invoices each month, and paid plans lift the cap. The Essentials tier also connects employee time to invoices, which helps if staff hours are part of what you bill. If invoicing is nearly the whole job, also read FreshBooks vs QuickBooks, since FreshBooks is built around that workflow.
Which handles bank connections and bookkeeping better?
On depth, QuickBooks has more headroom. It lists bank connections that auto-categorize transactions and reports including the balance sheet, profit and loss and cash flow. Higher tiers add budget planning, project profitability, inventory tracking and class and location tracking, and the Advanced tier adds workflow automation and Excel sync.
Wave covers the essentials properly. Its accounting page describes real double-entry accounting, with cash flow, balance sheet and profit and loss reports, and on the Pro plan you can connect bank and credit card accounts so transactions land in your books automatically. What Wave does not list is the extra layer QuickBooks sells at higher tiers, such as inventory or budgeting. If you hold stock or need budgets, check that before choosing Wave.
How do users, accountants and teams compare?
Wave adds extra users on the Pro plan, with roles such as admin, editor and viewer, and you can invite an accountant, bookkeeper or tax preparer as a collaborator. Wave describes itself as built for small business owners rather than accountants, which fits its single-owner focus.
QuickBooks handles team growth through its tiers, so lower plans cover a small number of users and higher ones cover more. An accountant can be invited at no extra cost, and the vendor runs a ProAdvisor program and an accountant suite. That ecosystem is a practical reason to pick QuickBooks if your bookkeeper already works in it. If you are not sure, ask them which tool they prefer before you decide.
What about payments and payroll?
Wave lists credit card and bank payments, estimates with deposits and a mobile app for managing invoices, expenses and receipts, although its pricing page sells receipt scanning as an add-on. Payroll for employees or contractors is a separate paid product. Because card fees apply to each payment, work out your usual invoice size before assuming the free plan keeps costs at zero.
QuickBooks is a family rather than one app. The vendor lists QuickBooks Payments, QuickBooks Payroll, QuickBooks Time and QuickBooks Workforce, plus a free mobile app for Android and iOS, and an AI layer it calls Intuit Intelligence. Having those pieces under one login is convenient, but each extra product is a separate line on the bill.
Country matters too. Wave's pricing page shows US and Canadian dollars, so confirm that payments and payroll are available where you operate, and do the same on the QuickBooks site before you commit.
Can you self-host Wave or QuickBooks?
No. Both are closed source, run by the vendor, and Enlisted lists no self-managed edition for either. If keeping your books on infrastructure you control is a requirement, Bigcapital is open-source accounting and inventory software that can be self-hosted with Docker or used as a cloud service, and its licence is listed as AGPL-3.0. GnuCash is free double-entry software that runs on your own computer. The QuickBooks alternatives guide covers more.
Wave: best for freelancers who want free invoicing and bookkeeping
Wave is cloud accounting and invoicing software with a free starter plan, aimed at freelancers, solopreneurs, contractors and consultants. It tracks income and expenses, sends invoices and estimates, accepts card and bank payments, and offers payroll and a mobile app. See the Wave listing or Wave alternatives for more.
It is the lighter of the two. You get proper bookkeeping without paying, as long as you are comfortable with manual transaction entry and with card fees on the payments you collect.
- Best for: freelancers and one-person businesses that mostly need invoices, expense tracking and clean records for tax time.
- Watch out for: automatic bank import and extra users need the paid Pro plan, and there is no self-hosted version.
QuickBooks: best for businesses that expect to grow into a fuller accounting setup
QuickBooks is Intuit's accounting software family for small businesses, covering bookkeeping, invoicing, payments, payroll and time tracking. The vendor markets versions for freelancers and sole proprietors as well as for larger businesses and the accountants who serve them. See the QuickBooks listing or QuickBooks alternatives.
Its advantage is range. You can start on the free plan, move up a tier when you need more users or reports, and add payroll or time tracking from the same company.
- Best for: growing small businesses, firms that work with an accountant, and anyone who wants room to add inventory, projects or payroll later.
- Watch out for: the free plan caps invoices, paid tiers climb with features and users, and the many products in the family can be confusing.

Frequently asked questions
- Is Wave or QuickBooks better for a small business?
- It depends on how much accounting you need. Wave suits freelancers and very small businesses that want free invoicing and bookkeeping and can enter transactions by hand. QuickBooks suits businesses that want bank connections on a free plan, tiers with more users and features, payroll and tools for accountants, and it costs more as you move up.
- Is Wave really free?
- Wave's Starter plan is free for unlimited estimates, invoices, bills and bookkeeping records. Accepting payments through Wave carries a per-transaction fee, automatic bank import and extra users are on the paid Pro plan, and payroll is priced separately. The software is free, but running a business through it can still cost money.
- Does QuickBooks have a free plan?
- Yes. QuickBooks lists a free plan for one user with income and expense tracking, a profit and loss report and one bank connection. It limits how many invoices you can send each month, so a business with regular billing will usually need a paid tier. QuickBooks also advertises a free trial.
- Can Wave connect to my bank?
- Yes, but on the paid plan. Wave's pricing page lists automatic bank transaction import as a Pro feature, and says the connection works if your bank supports Wave's connection provider. On the free Starter plan you enter transactions yourself.
- Can I self-host Wave or QuickBooks?
- No. Both are closed-source products run by their vendors, and Enlisted lists neither as self-hostable. If you want accounting software on your own server, open-source options such as Akaunting, Bigcapital and Invoice Ninja can be self-hosted, and GnuCash runs on your own computer.
